Mrs. is currently seeking a highly professional and reliable candidate for the position of Registrar and Archivist, to begin immediately. The selected candidate must have a strong interest in contemporary, emerging art and prior experience in an arts related organization. This position will be rewarded to an impeccably organized, mature, responsible, hard working, self-starter with strong communication skills. The gallery’s open hours are Tuesday - Friday, 11am - 6 pm and Saturday 12 - 5pm, and the candidate is expected to be present; punctuality is a must. Some scheduling flexibility is needed for openings, art fairs, and events. The position is full time and permanent.
Requirements:
• Bachelor’s Degree in Art History, Studio Art or Arts Management preferred
• Minimum two years of fine art registration experience
• Mandatory knowledge of the FedEx system and fine art shippers, including shuttles, international and local shippers, and customs logistics
• A strong work ethic combined with a friendly and professional manner and an enthusiasm to learn
• Excellent email writing etiquette and verbal communication skills
• Must be proactive and detail-oriented with the willingness to undertake projects both large and small and the ability to follow gallery procedures accurately
• Hold the ability to multitask and prioritize various short and long-term projects, follow directions and work independently
• Fluency in the Mac platform as well as a familiarity and knowledge of Photoshop, InDesign, Illustrator and other Adobe related programs
• Prior experience in gallery inventory software such as Artlogic, galleryManager, Filemaker, or Artbase
• Experienced and up-to-date knowledge of social media (Instagram, Facebook, etc.) as well as online art platforms such as Collecteurs, Artspace, Artsy, etc.
• Ability to multitask, work autonomously and anticipate needs
• Knowledge of contemporary art• Knowledge of art handling best practices
• Works well within a team
Responsibilities include but are not limited to:
• Database: Assist in creating artwork records. Update and maintain locations, prices, exhibition information, and condition reports. Generate sales and exhibition-related materials.
• Loans & Consignments: Manage all incoming/outgoing loan and consignment-related paperwork and administration including correspondence with artists, borrowers and gallery team.
• Documentation: Generate, complete, and archive sales agreements, acquisition paperwork, Certificates of Insurance, Certificates of Authenticity, artwork manuals, and various contracts.
• Shipping & Inventory: Carefully track all incoming and outgoing physical and digital artwork materials and equipment. Coordinate domestic and international shipments for sales, exhibitions, and art fairs.
• Liaise with the Preparator to safely pack, condition check, and photograph shipments. Administer and oversee digital transfers of file-based artworks. Bridge communication between artists, collectors, borrowers, and vendors with a focus on best pricing and clear timelines.
• Accounting: Track production and shipping costs.
• Office: Maintain office supplies. Assist in opening and closing the gallery, speaking with visitors, answering the phone, maintaining tidiness, etc.
